Business Analyst – AI & Prompt Engineering

Location: Utrecht, Netherlands
Workload: 32–40 hours per week (Hybrid)
Language: English (Dutch is a strong advantage)
Education: Bachelor's or Master's degree in a technical or business-related field
Office Presence: Mondays and Wednesdays

Role Overview

We are seeking an experienced Business Analyst with expertise in AI and Prompt Engineering to support the transition of AI-driven use cases from exploration into build, test, and implementation phases.

The solution direction has already been validated. The focus of this role is to refine, operationalize, and prepare AI-powered solutions for production and business adoption. The successful candidate will work closely with business, technology, risk, compliance, and architecture stakeholders to ensure solutions are scalable, compliant, and ready for implementation.

Key Responsibilities

Prompt Engineering & Operationalization

• Develop, refine, and optimize prompts to deliver consistent, high-quality business outcomes.
• Establish and improve prompt design standards, guidelines, and lifecycle management practices.
• Collaborate with business users to integrate prompting into operational workflows.
• Support prompt testing, evaluation, and continuous improvement during build and test phases.

Business Analysis & Implementation Support

• Facilitate workshops with stakeholders to refine requirements and validate implementation details.
• Translate validated concepts into detailed business requirements, user stories, user scenarios, and acceptance criteria.
• Support process design and alignment with target operating models.

Build & Test Support

• Define and document functional and non-functional requirements.
• Collaborate with technical teams regarding data requirements, integrations, and system constraints.
• Support testing activities, including User Acceptance Testing (UAT), ensuring solutions meet business expectations.

Documentation & Governance

• Create and maintain comprehensive documentation, including:
  • Business requirements and specifications
  • Process flows and user journeys
  • Prompt design standards and usage guidelines
  • Data usage documentation
  • Functional specifications
  • Governance, risk, compliance, privacy, and security documentation
• Ensure alignment with Responsible AI principles and governance frameworks.

Production Readiness & Handover

• Support structured handover activities into production and business-as-usual operations.
• Ensure documentation, processes, and operational procedures are complete and sustainable.

Required Experience

• Minimum 5 years of experience as a Business Analyst within IT, data, or digital transformation environments.
• Experience working with Data & AI solutions, preferably including Generative AI and prompt-based use cases.
• Strong track record of supporting initiatives from concept validation through build, testing, and implementation.
• Proven experience with:
  • Requirements engineering and documentation
  • Process design and operationalization
  • Workshop facilitation and stakeholder management
  • Cross-functional collaboration with business and technical teams
• Experience working with risk, compliance, security, and architecture stakeholders.
• Good understanding of IT ecosystems, data flows, integrations, and system dependencies.
• Familiarity with Responsible AI, model governance, and regulatory requirements is advantageous.
